Position Title: Office Coordinator

What You’ll Do Here:
• Implement, review, and evaluate new administrative procedures to support property management operations.
• Coordinate and plan for office services, such as equipment, supplies, forms, acquisition or disposal of assets, parking, office access cards, maintenance requests, office organization, seating plans, office moves, etc.
- Manage the monthly ordering of general office supplies, including kitchen, stationery, and inventory, ensuring availability without overstocking.
- Handle mail and courier management, ensuring timely deliveries and shipments.
- Prepping desks for new hires(emptying, cleaning, providing supplies).
- In collaboration with the Communications department, facilitate office communications.
- Support the planning and execution of office & company events
- Ensure meeting rooms are set up, clean, and operational throughout the workday.
- Be an active member of the Health & Safety Committee
- Provide administrative support for the Project Director and Deputy Director, including calendar management, light communication, and meeting coordination support.
- Point of contact and administrator for the Tango desk booking system
- Liaison with the client and the partners' administrative teams

- Proficiency in Microsoft Office programs.
- Minimum 2 years of office coordination and administrative assistance experience
What You’ll Bring to the Team:
- Minimum of one year of AutoCAD drafting experience.
- Post-secondary education in Civil Engineering or Architectural program.
- Strong proficiency with AutoCAD software and experience customizing AutoCAD, scripts, tools and Menu’s.
- Basic understanding of municipality standards is considered an asset.
- Experience with utility projects, specifically telecommunications, hydro and gas, considered an asset.
- Proficient with the use of computers and software, including MS Office (Word, Excel).
- Good understanding of how to read civil engineering drawings and site plans.
- Excellent safety and attendance record and previously demonstrated strong safety awareness.
