Position Title:  Project Admin Co-op

Metrolinx’s GO Expansion program is delivering more GO service across the network, including the capacity to deliver two-way service every 15 minutes or better on core routes. Work is already underway on new track, station renovations and infrastructure upgrades on parts of the Lakeshore, Stouffville, Kitchener and Barrie lines. The investment will generate thousands of new jobs and economic opportunities across the region. The ONxpress Civil Joint Venture is comprised of Aecon Infrastructure Management Inc. and FCC Canada Ltd. This multidisciplinary team leads the delivery of civil and track works, leveraging global expertise to introduce innovative solutions across the GO Transit network.

What You Will Do:

As a Site Project Administrator, you will support the successful delivery of the Oshawa Station Project by assisting the Project team with administrative, coordination, and documentation tasks throughout the project lifecycle. This is an entry-level to junior role ideal for individuals looking to grow their career in transit or infrastructure project delivery.

 

  • Preparing meeting minutes and reviewing project documentation such as specifications, and technical drawings, etc.
  • Coordinate meetings, prepare agendas, and take and distribute meeting notes for the Project team.
  • Support procurement and tendering activities, including preparation of bid forms, quantity take offs, scope of work documents, bid evaluations, and coordination with subcontractors and suppliers.
  • Support procurement processes by helping track material orders, vendor communications, and delivery schedules.
  • Communicate with internal teams and external stakeholders to collect or relay information as needed.
  • Assist with site coordination activities between subcontractors, suppliers, the site team and ONxpress Functional teams.
  • Help monitor compliance with project timelines, quality standards, and safety procedures by supporting site and office-based teams.
  • Assist in compiling and preparing reports, presentations, and project updates for senior management, clients, and project partners.
  • Assist in preparation of formal documentation for submission into the document control system.
  • Manage and coordinate site supporting vendors and suppliers (coordination of deliveries and services on site, review/processing invoices, forecasting costs and tracking against planned spend).
  • Assist in preparation and review of subcontractor progress billing applications and supporting documentation.
  • Participate in work planning exercises and provide support to the project team of all site supportive requirements (materials, equipment rentals, consumables)
  • Maintain and organize project files, records, and documentation within the SharePoint document management system.
  • Assist with tracking project schedules, milestones, and construction progress against baseline plans.
  • Assist in preparation and maintaining project trackers, including document control logs, billing applications, site progress tracking, cost control, procurement status, and project action items.
  • Support the project close-out process by helping compile final documentation, manuals, and warranty materials.

 

 

What You Bring:

  • Currently enrolled in Civil Engineering, Engineering Technologist, or Construction Technology Diploma/Degree/Post-grad Certificate.
  • Exposure to project coordination, administrative support, construction, or engineering environments through co-op, internship, academic, or related experience is considered an asset
  • Strong organizational and time management skills with attention to detail.
  • Proficient with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook); experience with scheduling or project management tools is a plus.
  • Good written and verbal communication skills.
  • Ability to work collaboratively in a team environment and liaise with multiple departments or stakeholders.
  • A willingness to learn about rail systems, construction, and infrastructure project delivery.
  • Post-secondary education in engineering, construction management, or a related field is an asset but not required.

 

Expected compensation for this role is between $20-$25 hourly based skill and experience level. Applicants must be enrolled in a relevant university or college program to be eligible for the opportunity. Only students eligible to complete an 8–12-month co-op term will be considered.
