Position Title:  Project Coordinator - Railway Equipment

Who We Are

Metrolinx’s GO Expansion program is delivering more GO service across the network, including the capacity to deliver two-way service every 15 minutes or better on core routes. Work is already underway on new track, station renovations and infrastructure upgrades on parts of the Lakeshore, Stouffville, Kitchener and Barrie lines. The investment will generate thousands of new jobs and economic opportunities across the region. The ONxpress Civil Joint Venture is comprised of Aecon Infrastructure Management Inc. and FCC Canada Ltd. This multidisciplinary team leads the delivery of civil and track works, leveraging global expertise to introduce innovative solutions across the GO Transit network.

 

What You'll Do:

  • Maintain, verify, and report records related to the existing machinery fleet on a regular basis. This includes tracking and reporting the following records:
    • Fuel consumption reports
    • Spare parts records and inventory tracking information
    • Daily site activity records
    • Machine location and utilization information
    • Data entry into the Toolsense system, keeping records up to date, and preparing periodic reports as required
  • Support the field coordination of the Equipment Team with other departments. Ensure the necessary flow of information between site teams, operations, maintenance, logistics, procurement, and other relevant departments.
  • Provide administrative and documentation support for procurement processes. Track quotations, purchase requisitions, delivery information, vendor correspondence, and related procurement documents.
  • Support the progress billing application processes for vendors managed by the Equipment Team.
  • Collect, review, and submit required supporting documents to the relevant management team, including site records, service forms, delivery documents, timesheets, and other supporting documentation.
  • Participate in field activities together with Equipment Team management and su-pervisors. Observe field activities, record relevant information, track open actions, and prepare the necessary reports.
  • Organize routine site inspections and support coordination between departments. Track open items, coordinate with relevant stakeholders, and report issues that may cause delays or risks to management in a timely manner.
  • Track open actions related to the Equipment Team. Maintain the action tracker, monitor progress against responsible persons and target dates, and report delayed or risk-related items to management.
  • Prepare meeting minutes and decision records. When required, prepare meeting minutes for equipment team-related meetings, record decisions and action items, distribute them to the relevant stakeholders, and follow up accordingly.
  • Maintain proper documentation and record control for the Equipment Team. Ensure that service forms, delivery records, site reports, vendor documents, procure-ment support documents, and similar records are properly archived and accessible when required.
  • Support the preparation of periodic management reports. Assist in preparing weekly and/or monthly summary reports covering the machinery fleet, open actions, vendor progress, field activities, procurement status, and critical risks.
  • Support the development of local capability in railway maintenance equipment within the Equipment Team. As this type of equipment requires specific training even for experienced operators in Canada, the selected candidate will be progressively exposed to equipment documentation, field activities, maintenance processes, safety requirements, vendor support activities, and operational coordination practices under the guidance of the Equipment Team.

 

What You Bring:

  • 2+ years of relevant experience.
  • Diploma or degree in Engineering, Mechanical Technology, or a related field, or equivalent practical experience.
  • Previous experience in project coordination, construction coordination, equipment coordination, fleet management, maintenance coordination, procurement support, change management coordination, research & development or site administration is considered an asset.
  • Strong organizational skills with the ability to maintain records, track multiple open actions, follow up with stakeholders, and support timely closure of action items.
  • Strong attention to detail and the ability to verify information before reporting or submitting documentation.
  • Good communication skills and the ability to coordinate with site teams, supervisors, vendors, procurement, operations, maintenance, and other internal departments.
  • Ability to work in a fast-paced construction or rail project environment and adapt to changing site priorities.
  • Proficiency with Microsoft Office applications, especially Excel, Word, Outlook, and Teams. Experience with SharePoint, Aconex or other document control systems, asset management systems, or Toolsense is considered an asset.
  • Willingness to participate in field activities, routine site inspections, and equipment-related coordination activities.
  • Interest in railway maintenance equipment, heavy equipment, machinery, field operations, or maintenance processes.
  • Ability to read, understand, and organize service forms, delivery records, daily reports, timesheets, vendor documentation, and procurement-related documents.
  • A proactive mindset with the ability to identify delays, missing information, documentation gaps, and potential risks, and escalate them in a timely manner.
  • Commitment to safety, teamwork, accountability, and continuous learning.

 

Expected compensation for this role is between $60,000-$70,000 annually. Base salaries are determined according to multiple factors including skills, experience and potential impact on the role. Internal and external competitiveness are also taken into consideration. In addition to base salary ONxpress also offers a comprehensive medical and dental program, RRSP with company matching and the potential to participate in our discretionary, performance based bonus program.
