Reporting to the Sr Director, Federal Services, the Federal Executive Administrator is responsible for the day-to-day support of business activities including new business pursuits, operational support and administrative functions.

 

What You'll Do Here 

 

Proposal Data Collection/Analysis

 

  • Maintain Federal prospect list
  • Collect, analyze, trend and report on proposal data to develop metrics to identify areas for improvement
  • Capture Project experience and maintain active database of federal projects
  • Support Proposal development to ensure consistent, professional, grammatically correct content in final submittal documents

 

Operational Support

 

  • Coordinate with project leadership to identify and compose communication on employee/team achievements for timely recognition and celebration
  • Track, review and analyze social media metrics to determine effectiveness of messaging and outreach efforts
  • Support preparation of social media content relative to our federal team accomplishments
  • Edit Compose policies, processes and procedures to support the federal business by collaborating with department heads
  • Transfer existing and new policies and procedures into an integrated management system
  • Develop easy to follow operational work flows to improve communication and operational integration
  • Maintain records

 

Administrative Responsibilities

 

  • Support Senior Leadership in the pursuit/execution of federal business
  • Coordinate and maintain senior leadership calendars
  • Book and maintain meeting rooms as required
  • Order office supplies
  • Arrange Meetings and maintain meeting minutes
  • Backfill other office administrators in corporate business functions as needed
  • Other duties as assigned

 

Travel Arrangements & Expenses

 

  • Make travel arrangements for senior leaders as required
  • Complete expense reports and submit to Concur for processing in accordance with company policy
  • Update and maintain travel profiles
  • Assist in Conference event planning including trade show exhibit displays

 

 What You Bring To The Team

 

  • Post secondary education in Business Administration or similar
  • Minimum 5 years of experience in a administrative role
  • Applicant must be a United States Citizen
  • Self-starter, resourceful and able to work independently
  • Excellent organizational skills to prioritize tasks, efficiently plan, develop solutions and maintain records
  • Ability to prioritize tasks and handle multiple projects on tight deadlines
  • Effective communication skills, verbal and written; dealing tactfully with peers, clients, visitors and suppliers
  • Experience with operational procedure writing and documentation
  • Knowledge of work flows Documentum/Aconex considered a plus
  • Excellent computer proficiency using MS Office Products to produce integrated products using Word, Excel and Powerpoint
  • Experience working in a Sharepoint environment
  • Skilled in the development and utilization of forms
  • Ability to interact professionally with collogues and visitors
  • Flexibility to adapt to changing priorities and demands
  • Experience in developing dashboard metrics
  • Must be able to maintain sensitive issues in a confidential manner
  • Knowledge and compliance of Aecon safety policies and procedures
