Bilingual Administrative Assistant

Reporting to the Supervisor, Estimating Administration the Estimating Coordination Administrator will be responsible for general administration duties to support the Estimating Department.


Key Responsibilities

  • Analyzes documents, specifications, proposals in preparation for pricing. Maintain Bid Tracking Database Enter and update new bid opportunities into Bid Tracking 
  • Weekly/Monthly reports from Bid Tracking to Managers 
  • Order and maintain office supplies 
  • Coordinate courier services 
  • Process and maintain purchase orders 
  • Assist with printing and scanning of documents, tender files, contracts, etc. 
  • Process requests for Notice of Projects 
  • Process requests for Stat Decs 
  • Process requests for general insurance enquiries 
  • Assist and maintain contractor/client credit checks 
  • Assist with Health and Safety Prequalification requests/reviews 
  • Assist with tracking of addendums/bid enquiries, when required 
  • Maintain and update Utility specifications 
  • Maintain and update General Files within the Utilities Estimating Share Point 
  • Receive and distribute internal mail 
  • Translation of documents, when required 
  • Perform other duties and responsibilities as required


Required Knowledge and Experience

  • Must be fluent in English and French 
  • Sound computer skills – MS Excel / Lotus, MS Word, MS Project.
  • Strong communication skills – oral and written. 
  • Self motivated with good organizational skills. 
  • Ability to work accurately under pressure. 
  • Adaptable to flexible work schedule when required to meet deadlines. 
  • Ability to work with others as a team. 
  • Valid driver’s license
