What is the Opportunity?

Reporting directly to the HR Team Lead, the Human Resources Assistant will provide administrative and coordination support to our Human Resources and Operations teams. The Human Resources Assistant is responsible for assisting our HR Operational teams with providing professional, client-centered support within a fast-paced operational environment as well as supporting our central HR team with program administration, HR process development, policy governance, HR communications, and other transactional activities supporting the business.

 

What You’ll Do Here:

HR Operational Support

  • Responsible for working closely with HR and payroll to ensure all transactions related to the employee life cycle are submitted accurately and within the required payroll deadlines. For example, new hire paperwork, terminations, benefits, compensation changes, taxable benefits, project uplifts.
  • Responsible for salary reports and ensuring data accuracy and integrity. 
  • In charge of investigating and answering employee questions associated with their pay, acting as a liaison between the employee and salary payroll department & hourly payroll department. 
  • Participate in data audits.
  • Generate new and ad hoc HRIS reports as needed by the HR department. 
  • Support drafting offer letters, onboarding new employees, collecting all new hire paperwork, submission of IT needs, access to software and hardware, and follow up to ensure all needs are in place prior to the employee start date.
  • Schedule and coordinate Orientations for new hires for all salary and hourly non-union employees. 
  • Prepare new Employee Orientation packages and assist in offboarding employees including communication with payroll and IT.
  • Act as liaison between HR, new hire and managers regarding onboarding information.
  • Participate and lead continuous improvement initiatives.
  • Act as backfill and assist other HR Administrators with their operational requests in cases of absences/high work volume.
  • Provide administrative support to ensure HR4HR resources are maintained and confidentiality of HR client group is upheld.

Central HR Support

  • Managing HR Inbox as needed with drafting employee verification and reference letters, answering employee’s inquiries, processing health and wellness/green energy benefits, managing Aecon Accolades inquiries, and other HR inbox related activities.
  • Provide administration and coordination support with Aecon's reward and recognition programs such as Aecon Achievement Awards and John M. Beck Scholarship.
  • Support the HR Specialist with the coordination and facilitation of reoccurring and newly developed employee experience programs like employee recognition and onboarding experience.
  • Help to coordinate the service award event, certificates and gifts for those receiving service awards.
  • Code all HR invoices, program related invoices, vendor invoices and other miscellaneous invoices.
  • Liaison between vendor and A/P department for all payment inquiries.
  • Schedule and coordinate orientations for new hires for all salary and hourly, non-union employees.
  • Send out all post communications to new hires regarding their onboarding information.

 

What You Bring to the Team:

  • Experience working in a fast-paced operational environment such as construction is an asset.
  • Exceptional organization, attention to detail, with the ability to manage multiple clients and deliverables.
  • Experience with SAP and Success Factors is an asset.
  • Strong verbal and written communication skills, including the ability to clearly communicate with various audiences, stakeholders and clients.
  • Excellent problem-solving skills.
  • Strong customer service skills with the proven ability to develop and maintain effective relationships with team members as well as internal and external stakeholders.
  • Professionalism and discretion handling sensitive information a must.
  • Demonstrated ability using MS Office applications (Outlook, Word, Excel, PowerPoint).
  • Post-secondary education with a major in Human Resources or related field.
