Aecon Utilities has an exciting opportunity for a Proposal Coordinator to join our bid and proposal team. Reporting to the Manager, Tenders, the Proposal Coordinator will support the production, coordination, and development of RFPs, RFT, EOIs, RFPQs, etc., for Transmission, Substation, and selected Distribution projects.


Key Responsibilities

  • Support the bid proposal process through the activities of coordination, SME collaboration, writing, finalization, assembly, internal reviews and submission
  • Act as client liaison during the bid process
  • Maintain tender and proposal document management as appropriate
  • Assist in the creation and maintenance of associated illustrations, graphics and templates
  • Support the creation and maintenance of our proposal content database / management system
  • Compile and maintain project experience data, including case studies
  • Support marketing initiatives such as internal and external announcements, social media posts, etc.
  • Proof reading and formatting various documents for proposals and marketing purposes
  • Coordinate / administer bid debriefs and post-submission lessons learned


Required Knowledge and Experience

  • 2+ years of experience in a proposal writing / coordinating role, preferably in a utility construction environment
  • Diploma or degree (business, marketing or communications)
  • APMP Certification will be considered an asset
  • Proficient in Microsoft Office, specifically Word, Excel, and PowerPoint, as well as Adobe, InDesign and working knowledge of the rest of the Adobe Creative Suite
  • Stellar client service skills along with the ability to communicate effectively (verbal and written) with individuals at all levels of the organization, as well as external parties
  • Flexible and open to changing priorities and multi-tasking
  • Creative, strategic, forward thinking mindset
  • Adaptable to flexible work schedule when required to meet deadlines
  • Dependable with the ability to work in a collaborative team environment with minimum supervision
  • Bilingualism in French will be considered an asset.
