Position Title: Office Coordinator
Who We Are:
STC is a joint venture between Aecon and FCC Canada Ltd. that was selected by Metrolinx to deliver the Scarborough Subway Extension – Stations, Rails and Systems (SSE-SRS) package. The Scarborough Subway Extension will bring the TTC’s Line 2 subway service nearly eight kilometers farther into Scarborough. It will extend from Kennedy Station to Sheppard Avenue and McCowan Road, providing quick and seamless transit for those heading into and out of the downtown core and those travelling within Scarborough. The extension will replace Line 3 (the Scarborough RT), helping to reduce travel times and improve access to jobs, schools, and other key destinations throughout the city.
As part of this project, we are currently looking for a Office Coordinator to join our team.
What You Will Do:
- Ensure the efficient management of the front desk and overall office; deliver support for business functions.
- Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests.
- Coordinate daily administrative operations and support project teams with various administrative tasks.
- Receive and respond to phone calls, emails, and other correspondence.
- Ensure a welcoming & safe environment for employees & visitors to work within; greet and direct visitors appropriately.
- Manage staff, visitor, and contractor entry to the premises; handle building access card requests and send to building management for new employees.
- Maintain and log key inventory for project office as well as distribution of keys.
- Maintain visitor, employee, and department directories and logs – seating assignments, floorplans, etc.
- Follow security procedures, such as monitoring the logbook and issuing visitor badges.
- Liaise with vendor and property management for all office and facility issues.
- Organize the reception area while complying with office procedures, rules, and regulations.
- Sign for deliveries and ensure all mail and packages from post office box are distributed accordingly.
- Keep the office clean, stocked, and organized, especially the kitchen, meeting rooms, stockrooms, storage closets, and communal areas.
- Ensure workstations & meeting rooms are cleaned and in working order; support meeting room bookings and inquiries.
- Maintain a record of supply inventory.
- Order and stock office/coffee/tea/kitchen supplies as needed and organize storage areas.
- Maintain office equipment and ensure operability.
- Identify hazards and report to H&S team.
- Maintain and update files, documents, and paperwork.
- Arrange and coordinate office events.
- Support with setting and cleaning up of business lunch and project events.
- Any other duties as assigned.
Experience You Will Bring:
- Administration related degree/diploma or an equivalent combination of relevant technical training and experience.
- 2+ years of administrative and clerical experience in an office environment; customer service experience would be an asset.
- Advanced knowledge of Microsoft Office products; strong Word, Excel, PowerPoint, and Outlook skills would be an asset.
- Excellent ability to communicate information and clarify requirements both verbally and in writing clearly and effectively.
- Ability to act with discretion when dealing with confidential information.
- Ability to work with a sense of urgency and shift priorities to achieve objectives.
- Proven organizational skills to manage multiple tasks and meet deadlines.
- Strong attention to detail and work ethic.
- Reliable with patience and professionalism.
- Working knowledge of office equipment.
- Ability to lift up to 25 lbs.
