What is the Opportunity?
Aecon Industrial provides high-performance construction services to a broad array of industrial clients across the country and offers single-source solutions for multi-trade industrial construction and fabrication projects.
Under the general supervision of the materials lead , the Materials Administrator is responsible for many and various duties. This includes but is not limited to: Assisting in keeping Material Receiving Report (MRR) entry in Aecon’s Database’s, investigating material discrepancies/issues and ongoing data validations, material take offs from drawings, requisitioning materials, expediting the materials, inventory control, reconciliations and accuracy are all key functions to this position. Accuracy and auditing are key functions to this position. Provide internal and external customer service.
What You'll Do Here:
- Assist with data entry support for Fabrication/Shipping/Billings/Production
- Detailed typing by working from pull down menus to match up with understanding of Packing Slip data
- Assist with MRR Data input for Aecon Data Base of goods released by QC Dept
- Coordination of orderly workflow with QC Dept, Procurement and Pipe Shop
- Materials Clerk training for MRR entries and orderly allocation in ICMS Data Base, when position is filled
- Data validation and coordination with Drafting for incoming Transmittals of spool BOM’s
- Assist in the ongoing development of the Databases and process efficiencies
- Processing Cancellations of spool BOM’s into ICMS Data Base when directed from Drafting
- Coordination of subletting operations
- Ability to read and decipher shop/ISO drawings & BOMs - this would also include checking or validating the drafted supplied drawings
- Produce Request for Quote (RFQ) forms to Purchasing as per project or in-house needs as directed
- Requisitioning of materials and Services (ie. Machining) to meet Fabrication project needs – Project Manager, Fabrication Manager, Project Coordinator, must approve
- Expediting Materials and Services with Purchasing or Clients to meet Production Schedules
- Assisting in handling Holds, Revisions and Cancellations of work – direction from Coordinator
- Sorting, pulling, photocopying, stamping and filing of shop drawings
- Create Daily and/or Weekly Material Summary and Spool Shortage Reports from ICMS DB for internal Project Managers, Materials Coordinator Lead, Site Teams and Customer Representatives
- Spool drawing validations against material catalogue(s) – own or Client’s
- Very detail oriented with accuracy, organizational and efficiency skills which are essential for this position and the ability to double check own work and others
- Computer allocating shop floor drawings (including knowledge of substitution rules), allocation in sequence supplied by Material Coordinator Lead
- Review/update ICMS Data Base when drawing Revisions are issued, including placing HOLDS with QC and Shipping personnel as required and directed by PM and/or Project Coordinator
- Support all requirements for Lean Manufacturing
- Follow and keep up to date for all Nuclear Training; Manual and QCP’s as apply to position or back filled positions
- Assist in creating some non-Data Base detailed excel lists for loose material shipments for Shipping to Site’s or return to Vendor’s Work well within a combined non-Union and Unionized work force
- Coordination of incoming materials for the Receiving Department, trying to prevent peaks and valleys
- Assist with return to correct materials no longer required by Pipe Shop
- Assist in Inventory Inspections
- Assist in Traveler Documentation under the direction of the Materials Coordinator Lead
- Support Production Engineering requirements
- Back up to the Document Control Clerk
- Back up to the Pipe Shop Materials Coordinator (ICMS Data Base mostly)
- Assist Project Managers with any additional reports required
What You Bring to the Team:
- Minimum 1 year College (Business)
- Minimum 1-3 years Piping Industry experience
- Production Control Methods experience would be an asset
- Intermediate Computer knowledge
- Proficient in Microsoft Office Products –1) Excel, 2) Access & 3) Word
- Working knowledge of the ICMS Data Base
- Working knowledge of pipe and associated materials
- Working knowledge of structural steel materials
- Safety orientated
- Must be detail orientated
- Good interpersonal written and verbal communication skills
- Good organizational and time management skills
- Ability to read structural drawings for material take offs
- Must be able to multi-task for the position held, sometimes on the run
- Working knowledge of SAP Management System
- Some knowledge in Lean Manufacturing (5S, Kanban, Visual Factory, Kaizen and Value Stream Mapping)
- Due to the nature of work conducted by Aecon, mandated nuclear export controls requirements must be met for employment

The expected pay range for this role is $55,000 - $65,000 per year
Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may include certifications, specialized training, and the complexity or scope of the role.
