What is the Opportunity?
Aecon Materials Engineering Corp. (AME), is seeking an Administrative Assistant based out of our Caledon Office, located at 10 Perdue Court, Caledon. The Administrative Assistant will report to the Project Accounting Supervisor and will be responsible for administrative functions and communicating with office staff, visitors, customers, vendors and suppliers. This will be a 12 month contract.
What You'll Do Here:
- Keeps the front entrance, reception area, and boardrooms neat, tidy and presentable at all times.
- Provides support for boardroom meeting bookings and ensures smooth connectivity for users.
- Provides assistance to the procurement, finance, safety, quality, and projects as requested for general admin.
- Scan and file documents (eg. WSF/Packing slips/Lab Reports/etc.
- Coordinates office administration matters (e.g. janitorial services, maintenance, social events, etc.). Monitors and replenishes the office supplies inventory.
- Maintains and replenishes the kitchen areas ensuring they are stocked and tidy.
- Prepares mailings or courier requests.
- Establishes and maintains relationships with key vendors (cleaning, maintenance, supplies, couriers) to ensure high quality services.
- Supports travel booking and expense processing as required.Maintains and organizes all related filing systems
- Other related general administrative duties as required.

What You Bring to the Team:
- Superior customer service.
- Detail oriented.
- Good computer skills using MS Office Products.
- Must be able to deal with sensitive issues in a confidential manner.
- Strong communication skills, dealing tactfully with employees, visitors, and customers.
- Problem solving, planning and organizational skills, ability to prioritize tasks, work to timelines.
- Knowledge of office methods and procedures, equipment and filing systems, both electronic and manual.
- High school Diploma and preference for post-secondary with a business or administrative diploma.
