Reporting to the HR Manager, the HR Coordinator will provide client-focused support across talent acquisition and human resources functions for Civil operations. This role will support full-cycle recruitment, onboarding, HRIS and payroll transactions, employee inquiries, reporting, benefits administration, training coordination, and general HR support. The successful candidate will be highly organized, detail-oriented, and comfortable working in a fast-paced, deadline-driven environment while supporting operational leaders, hiring managers, employees, and the broader HR team.

 

What You’ll Do Here:

Talent Acquisition and Recruitment Coordination

  • Support the full-cycle recruitment process within the Civil operating sector.
  • Post job requisitions internally and externally and source candidates through appropriate channels, including professional organizations, career fairs, educational institutions, websites, and social media forums.
  • Screen resumes and conduct pre-screening calls with candidates.
  • Coordinate interview logistics and participate in interviews with hiring managers as required.
  • Conduct background and/or reference checks as required.
  • Work with HR colleagues and hiring managers to prepare employment offers.
  • Support the creation and maintenance of job descriptions as required.
  • Act as a subject matter resource within the Civil HR team for the SuccessFactors Recruiting system.
  • Provide regular reporting on Talent Acquisition metrics and prepare ad hoc recruitment-related reports as required.
  • Work with the broader Talent Acquisition team to support social media enhancements, campus relations initiatives, co-op and summer student recruitment, engagement opportunities, and campus events.
  • Partner with operational leaders, hiring managers, and HR colleagues to proactively assess current and future hiring needs.

 

Payroll, HRIS, and Reporting

  • Work closely with payroll to ensure employee lifecycle transactions are submitted accurately and within required payroll deadlines, including new hire paperwork, terminations, benefits, compensation changes, taxable benefits, and project uplifts.
  • Investigate and respond to employee pay-related inquiries, acting as a liaison between employees and payroll teams.
  • Collect, review, and file supporting documentation related to employee compensation, assignment changes, and other employee lifecycle transactions.
  • Ensure appropriate approvals, backup documentation, and signatures are obtained for HR and payroll paperwork.
  • Generate standard daily, weekly, monthly, and ad hoc HRIS reports, including reports related to salary employees, new hires, terminations, headcount, benefits, training, and performance reviews.
  • Lead regular data audits and support HRIS data accuracy and integrity.
  • Enter and update workforce planning changes in SAP and generate reports for supervisors, HR, and senior management as required.
  • Submit monthly corporate reports as required.

 

Onboarding and Offboarding

  • Act as a main point of contact for onboarding activities, including drafting offer letters, collecting new hire paperwork, submitting IT requirements, coordinating access to software and hardware, and following up to ensure needs are in place prior to start date.
  • Schedule and coordinate orientations for salary and hourly non-union employees.
  • Act as a liaison between HR, IS, new hires, and managers regarding onboarding information.
  • Coordinate offboarding activities, including communication with payroll and IT.
  • Draft and circulate new hire and departure announcements.

 

Benefits and Employee Support

  • Ensure employees are enrolled in the benefits program and support administration of health and wellness benefits.
  • Act as an employee liaison with the pension and benefits department.
  • Investigate and respond to employee questions related to benefits, pay, onboarding, HR processes, and general HR inquiries, escalating matters to the HR Manager or HR Business Partner as appropriate.

 

Training, Administration, and HR Support

  • Ensure tuition and training request forms are completed, organized, and tracked.
  • Coordinate and organize training sessions, including room bookings, equipment, materials, and other logistics as required.
  • Code HR-related invoices and liaise with the Accounts Payable department.
  • Participate in compensation surveys as required.
  • Maintain HR forms and ensure they are available for employee use.
  • Maintain and update highly confidential employee information on a daily basis.
  • File administrative documents in employee files.
  • Schedule meetings for HR and others as required.
  • Participate in special projects and perform additional duties as required.
  • Foster Aecon’s Core Values within the department and throughout the company.

 

What You Bring to the Team:

  • Post-secondary education in Human Resources Management, Business Administration, or a related field.
  • Minimum of 2 years of related experience in human resources, recruitment coordination, or talent acquisition.
  • Experience working in construction, engineering, industrial, oil and gas, or another operational environment is considered an asset.
  • Experience supporting recruitment activities across Canada considered an asset.
  • Experience with SAP and SuccessFactors is considered an asset.
  • Strong proficiency with Microsoft Office applications, including Outlook, Word, Excel, and PowerPoint.
  • Exceptional organization, attention to detail, and the ability to manage multiple clients, deliverables, and deadlines.
  • Strong verbal and written communication skills, with the ability to communicate clearly with various audiences, stakeholders, clients, and end users.
  • Strong customer service skills and the ability to develop and maintain effective working relationships with team members, internal stakeholders, and external stakeholders.
  • Strong analytical, problem-solving, and issue-resolution skills.
  • Demonstrated initiative in identifying opportunities for improvement and efficiency.
  • Ability to build strong partnerships at all levels through business insight, credibility, and the ability to make recommendations and influence outcomes.
  • Proven ability to work collaboratively within a team environment.
  • Ability to thrive in a fast-paced, deadline-driven environment.
