- Coordinate the preparation, formatting, assembly, and submission of RFQs, RFPs, tenders, EOIs, and pre-qualification packages.
- Maintain proposal schedules, submission calendars, and pursuit tracking tools.
- Gather and compile information from operations, estimating, safety, quality, and project teams to support proposal development.
- Maintain and update proposal templates, resumes, and project profiles.
- Coordinate printing, binding, electronic submissions, and document delivery requirements.
- Draft pre-construction documentation, including Environmental Construction Operation (ECO) Plans, project schedules, Traffic Accommodation Strategies (TAS) Plans, and purchase order requisitions, ensuring accuracy, completeness, and alignment with project requirements.
- Organize and maintain electronic filing systems for bids, proposals, and pre-construction documentation.
- Prepare reports, correspondence, meeting agendas, and meeting minutes.
- Generate crew timesheet templates.
- Initiate project utility locates.
- Draft accounting purchase orders and subcontract agreements.
- Work with the project management team to set up cellphones and laptops for office and field staff.
- Perform other duties and responsibilities as required.
- 1-3 years of experience in administration, proposal coordination, and project coordination.
- Experience in the construction industry is considered an asset.
- Demonstrated computer software proficiency in MS Excel and Word.
- Experience with SharePoint and document management systems.
- Strong document formatting and editing capabilities.
- Proven organizational skills.
- Ability to manage time and formulate plans to meet multiple deadlines within a high-pressure work environment.
- Ability to work effectively within a team environment.
