What Is the Opportunity?
Reporting to the Equipment Director, the Receptionist will be the first point of contact for visitors and phone inquiries, providing general office support and reception duties. The ideal candidate will have previous experience in construction, be organized, motivated, detail-orientated and driven.
What You'll Do Here:
- Warmly greet staff and visitors to the office at reception.
- Provide administrative and clerical support with speed and accuracy.
- Perform and maintain daily documentation, filing and typing.
- Maintain and organize document files.
- Perform general clerical duties; photocopying, mailing, filing and couriers etc.
- Provide administrative support to various departments as needed. Such as assisting with client meetings, creating presentations and packages, etc.
- Provide direct administrative support to the Equipment team.
- Coordinate and organize various internal and external events.
- Assist in booking boardrooms and setting up client meetings.
- Administers office and safety supplies, stationery.
- Ensuring office equipment and common areas including the kitchen and boardrooms are tidy and in good working condition.
- Monitor the supplies inventory and replenish when required.
- Performs other duties and responsibilities as required.
What You Bring To The Team:
- Minimum 2 years of office-related experience.
- Excellent computer skills using MS Office products, including MS PowerPoint, Word and Excel.
- Experience with SAP an asset.
- Ability to work independently, accurate computer data input and record keeping.
- Attention to detail, excellent organizational skills, and discretion with confidential information.
- Ability to problem solve and work independently.
- Demonstrated ability to effectively work in a dynamic environment.
- Must be able to deal with sensitive customer issues in a confidential manner.
- Strong communication skills, dealing tactfully with employees, visitors and customers.
- Problem-solving, planning and organizational skills, ability to prioritize tasks, work to timelines.
