We are seeking a highly organized and meticulous Federal Proposal Coordinator to join our team. The ideal candidate will be the central point of contact for all proposal development activities, ensuring timely, compliant, and high-quality submissions in response to Requests for Proposals (RFPs), Requests for Information (RFIs), and Requests for Quotation (RFQs) issued by federal government agencies. This role requires exceptional project management skills, attention to detail, and the ability to work collaboratively under pressure in a fast-paced, deadline-driven environment.
Key Responsibilities:
Proposal Management: Manage the entire proposal development lifecycle, including creating detailed schedules, outlining deliverables, and tracking progress against deadlines.
Compliance Assurance: Conduct thorough analyses of RFP/solicitation requirements and the Federal Acquisition Regulation (FAR) to ensure all submissions are fully compliant.
Content Coordination: Facilitate collaboration with cross-functional teams, including subject matter experts (SMEs), technical writers, finance, and legal teams, to gather and integrate information.
Writing and Editing: Contribute to content development, including drafting executive summaries, editing technical sections for clarity and consistency, and proofreading the entire document for grammar, syntax, and adherence to style guides.
Document Production: Organize and format final proposal documents, ensuring consistent branding and presentation, and managing the electronic or physical delivery process.
Resource Management: Maintain and update a central repository of boilerplate text, past performance data, project descriptions, and staff resumes for easy reuse.
Meeting Facilitation: Coordinate and lead proposal kick-off meetings, progress check-ins, and review sessions (e.g., Pink Team, Red Team) to gather feedback and ensure alignment.
Process Improvement: Participate in post-submission debriefs to capture lessons learned and recommend improvements to the overall proposal process and tools.
Qualifications and Skills:
Education: Bachelor's degree in Business Administration, Marketing, Communications, English, or a related field (or equivalent work experience).
Experience: [2-5] years of experience in proposal coordination or management, with specific experience in government contracting processes and RFPs highly preferred.
Knowledge: Familiarity with federal government procurement processes and the Federal Acquisition Regulation (FAR), and Defense Federal Acquisition Regulation Supplement (DFARS).
Technical Skills: Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Adobe Acrobat Pro is essential. Experience with proposal management software (e.g., Qvidian, Loopio, InDesign, RFPIO) and SharePoint is a plus.
Soft Skills:

- Strong written and verbal communication abilities, with a knack for persuasive writing.
- Proven project management skills, including the ability to manage multiple projects and tight deadlines simultaneously.
