What is the Opportunity?

To support the continued growth of our U.S. operations, Aecon is currently seeking a U.S. Licensing Coordinator to manage contractor and business licensing requirements across multiple U.S. jurisdictions.
The U.S. Licensing Coordinator plays a critical role in supporting Aecon’s U.S. construction and infrastructure operations by ensuring all required contractor, trade, and business licenses are obtained, maintained, and renewed in a timely and compliant manner. This role acts as a central point of coordination between business units, Legal, Tax, Payroll, Risk, external service providers, and U.S. licensing authorities. The successful candidate will be highly organized, detail‑oriented, and comfortable managing complex regulatory requirements across multiple states.
What You’ll Do Here:
Contractor Licensing & Regulatory Compliance
- Obtain and maintain U.S. contractor, specialty trade, and business licenses across state, county, and municipal jurisdictions.
- Determine licensing requirements based on the scope of work, trade classification, and project location.
- Coordinate related Secretary of State registrations where required.
- Prepare, submit, and track license applications, amendments, reinstatements, and upgrades.
License Management & Renewals
- Maintain a centralized U.S. licensing register, including license classifications, expiry dates, qualifying individuals, bonding, and insurance requirements.
- Monitor renewal deadlines and ensure licenses are renewed on time to avoid lapses, penalties, or work stoppages.
- Track legislative and regulatory changes impacting contractor licensing and advise internal stakeholders accordingly.
Qualified Individual (QI) Coordination
- Coordinate with qualifying parties / qualifying individuals on experience verification, examinations, affidavits, and ongoing compliance obligations.
- Arrange exam registrations, study materials, scheduling, and documentation of results where required.
Insurance, Bonding & Financial Coordination
- Work closely with Risk, Finance, and external brokers to support:
- Contractor bonding
- Workers’ compensation compliance
- General liability and other licensing‑mandated insurance
- Coordinate submission of financial statements, net worth documentation, and supporting materials required by licensing authorities.
Internal & External Coordination
- Serve as the primary liaison with:
- U.S. contractor licensing boards
- External compliance and licensing providers
- Internal teams including Legal, Tax, Payroll, Risk, and Operations
- Support bid teams and operations by confirming licensing eligibility before project award or mobilization.
Reporting & Audit Support
- Prepare licensing status reports, dashboards, and summaries for internal stakeholders.
- Support internal audits, due diligence activities, and compliance reviews related to U.S. licensing.
What You Bring:
- Minimum 3–5 years of experience in U.S. contractor licensing, regulatory compliance, or a related role.
- Demonstrated experience managing multi‑state contractor or professional licenses.
- Strong understanding of:
- U.S. contractor licensing frameworks
- Qualifying individual requirements
- Renewal cycles and jurisdictional variations
- Strong organizational skills with exceptional attention to detail.
- Ability to manage multiple priorities and deadlines in a fast‑paced environment.
- Strong written and verbal communication skills.
- Experience in construction, engineering, utilities, energy, or infrastructure sectors.
- Experience working with licensing management platforms (e.g., Harbor Compliance or similar).
- Familiarity with U.S. Secretary of State registrations and corporate compliance processes.
- Experience working cross‑functionally with Legal, Tax, Payroll, and Risk teams.
