Position Title:  Project Administrator

We simply do it better. We are Ontario’s premier utility contractor and are ready to become Canada’s #1 utility construction provider. Reporting to the Project Manager, the Project Administrator will be responsible for will be responsible for supporting the daily activities of the job site. This position will be located in either Pitt Meadows or Kelowna. 


Key Responsibilities

  • Learn, interpret and applies organizational policies, rules and regulations
  • Tracks, records and reports attendance of all site personnel, board allowance and vehicle allowance.
  • Handle invoices with respect to distribution to appropriate departments for approval.
  • Establishes accounts with local suppliers for miscellaneous items for the site
  • Assists with the creation and submission of project billing.
  • Coordinates and prepares job packages including locates, permits, materials.
  • Creating and maintaining CSOs within our internal system.
  • Updating and managing all designated projects/jobs within SAP.
  • Creating and monitoring project schedules and submitting them for review as required.
  • Collaborating with CAD Techs and Designers.
  • Responsible for submitting permits to obtain the necessary municipal consents.
  • Performs other duties and responsibilities as required. 


Required Knowledge and Experience 

  • Experience as a project administrator/ project coordinator is considered an asset.
  • Billing/invoicing experience is considered an asset
  • Superior written and verbal communication skills (preparation and proofreading of documents)
  • Ability to show discretion with confidential and/or personal material
  • Ability to work well under pressure and meet deadlines with poise and confidence
  • Ability to multitask and prioritize workload, handling various job responsibilities at once (arranging meetings, phone messages, correspondence, etc.)
  • Ability to engage in customer contact/coordination through phone and email communications.
  • Ability to work independently as well as a member of a team
  • Professional interaction with all levels of staff within the organization from front line to senior executive
  • Exhibit a polite and professional manner at all times
  • Proficiency in MS Office (Word, Outlook, Excel and PowerPoint)
  • Valid Class 5 driver’s license
