Reporting to the Supervisor, the Project Adminstrator will have a strong focus on tracking and cost control. They will be responsible for tracking job costs, committed costs, forecasting, as well as reporting on multiple ongoing projects to clients during weekly meetings.  They will also be involved in reconciling jobs.  

Key attributes include exercising good judgment, initiative, detail oriented and the ability to multi-task and handle a heavy workload. The incumbent must project a professional company image through in-person and telephone interaction.


Note, this is a contract position from February - December 2021.


Key Responsibilities 

  • Monitor project performance on multiple jobs and ensure that the project controls system is properly implemented
  • Gather data and costs on various projects and prepare document results
  • Review and report weekly costs on projects to Aecon team
  • Report to clients at weekly cost meetings
  • Provide Aecon management team with all the required project controls summary reports and analyses
  • Assist the project manager in preparing project monthly reports and forecasting
  • Assist the project scheduler and the project team in preparing, reviewing, and maintaining the project schedule
  • Ability to perform in a fast-paced environment
  • Provides Manager of Operations with data and project analysis.
  • Tracks productivity, project accrual and costs and progress on projects
  • Provides data and input for month-end reconciliations
  • Maintains files and correspondence on active and completed projects
  • Assists with the creation and submission of project billing
  • Maintains an organized filing system on site
  • Performs other duties and responsibilities as required


Required Knowledge and Experience 

  • Attention to detail, excellent organizational skills
  • Experience working in the construction industry an asset
  • Ability to work well under pressure and meet deadlines with poise and confidence
  • Ability to multitask and prioritize workload, handling various job responsibilities at once
  • Detail oriented and customer focused
  • Excellent interpersonal and team skills
  • Excellent written and oral communication skills
  • Ability to work effectively with all levels of management and employees
  • SAP and FOS experience is a strong asset
  • Strong computer skills- MS Excel is a strong asset
  • Ability to work accurately under pressure
  • Must be able to deal with sensitive customer issues in a confidential manner.
  • Able to perform in a fast-paced environment
  • Strong communication skills
