Position Title:  Document Controller

The Document Controller is responsible for the processing, issuing and/or reproduction and filing of engineering and construction documents/records to ensure accuracy and timeliness. Ensures proper tracking and filing of all documents received by company from the client and any other suppliers. This may include maintaining a complete database and library of all drawings, specifications and standards as received by the company project team. This position is based in Mooretown, ON.

 

Key Responsibilities

  • Review company and client turnover requirements.
  • Familiarize with the quality related processes and procedures.
  • Assists with the turnover and document control activities with maintaining all document control records.
  • Assist the Project Lead with assembling turnover packages, as required.
  • Assist Turnover Coordinator or Project Lead with ensuring the turnover processes are followed and contract deliverables are supplied on schedule.
  • Ensure proper tracking and filing of all documents received by the Client and any other Suppliers/Vendors.
  • Ensure proper tracking and record keeping for all documents from the Client's project management team including Request for Information (RFIs), as built and turnover documents.
  • Maintain a database and library of all drawings, specifications and standards as received by the company Project Team.
  • Data entry of all documents into company Electronic Document Management System.
  • Maintain the data entry process for archiving documents.
  • Assist in creating transmittals, copying of documents, verification of binders, electronic filing, etc.
  • Collaborate with other functions to enhance project success.
  • Coordinate with Client/Construction/Quality to ensure delivery of finalized turnover documentation upon completion of projects.
  • Attend and contribute information during team meetings with regards to current/outstanding issues and/or weekly progress.

 

Required Knowledge and Experience

  • Post-secondary education – Bachelor’s Degree or College Diploma.
  • Excellent written and verbal communication skills.
  • Strong attention to detail.
  • Excellent organizational skills.
  • Ability to multi-task and meet deadlines in a fast-paced environment.
  • Experience in using electronic document management and document control system.
  • Ability to accurately and efficiently setup, create and maintain documentation metadata.
  • Ability to interpret and implement process, procedures, workflows and standards.
  • Experience in working within a team environment with strong focus on customer service.
  • Intermediate/advanced working knowledge of Portable Document format software
  • Proficient in electronic file management e.g. Explorer and WinZip.
  • Ability and flexibility to quickly learn other software tools as required.
  • Proven communication/interpersonal skills to build relationships with the immediate and remote team members.
  • Previous experience in processing both design and vendor documentation.
  • Ability to document work tasks (work instructions).
  • AutoCad experience would be an asset.
