What is the Opportunity?
The EHS Administrator provides administrative and coordination support to the EHS Digital Systems team. This role is primarily focused on administrative tasks, including data entry, reporting, document control, and system support for EHS programs and tools. The position supports consistent, accurate, and timely EHS reporting and maintains EHS records and documentation in alignment with company governance requirements.
What You'll Do Here:
EHS Reporting & Data Administration
- Prepare and distribute routine EHS reports, including monthly dashboards, observation exports, CCV tracking sheets, inspection summaries, and environmental statistics
- Maintain reporting calendars, templates, and standardized files to support recurring deliverables
- Perform data quality checks to ensure completeness and accuracy of EHS system entries
- Support leadership and team reporting requirements by compiling and validating data from EHS systems
Digital Systems & Forms Support
- Administer EHS digital forms and tools used for observations, inspections, and insights
- Support updates to forms, pick-lists, and fields as required by EHS programs
- Monitor submissions for completeness and follow up on missing or incorrect information
- Provide administrative support for EHS system users, including basic troubleshooting and guidance
Document Control & Records Management
- Maintain controlled EHS documents, including SOPs, checklists, templates, and manuals
- Support document version control, formatting, reviews, and publishing in approved repositories
- Ensure EHS records are filed, retained, and archived in accordance with document control requirements
Corrective Action & Task Tracking
- Assist with tracking corrective and preventive actions (CAPAs), including logging, status updates, and follow-ups
- Maintain action registers and support reporting on outstanding and completed actions
- Support task tracking and reminders for EHS Digital Systems activities and deliverables
Administrative & Coordination Support
- Provide general administrative support to the EHS Digital Systems team, including meeting notes, action lists, and coordination of recurring activities
- Act as an administrative point of contact for EHS system and reporting inquiries
- Coordinate with EHS team members to support consistent processes and timely submissions
What You Bring to the Team:
- Post-secondary education in business administration, occupational health and safety, or a related field, or equivalent experience
- Minimum 2 years of experience in an administrative, coordinator, or reporting-focused role
- Experience working with data, reports, and controlled documentation in a corporate or regulated environment
- Strong attention to detail and accuracy
- Excellent organizational and time management skills
- Comfortable working with digital systems, forms, and recurring reporting processes
- Proficient in Microsoft 365 (Excel, Word, SharePoint, Planner, Teams)
- Clear written and verbal communication skills
Working Relationships:
- Works closely with EHS Digital Systems, EHS Governance, and reporting stakeholders
- Provides administrative support to EHS team members and program owners
Success Measures:
- Timely and accurate completion of recurring EHS reports
- High data quality and completeness in EHS systems
- Up-to-date and well-controlled EHS documentation
- Effective tracking and follow-up of actions and tasks

The expected salary range for this opportunity is $50,000-$60,000 per year.
