What is the Opportunity?

Aecon’s Corporate teams play a critical role in enabling success of Aecon’s operating sectors and major infrastructure projects across North America and internationally. Through multidisciplinary expertise, functional services and strategic partnership– our teams collaborate with executive leadership, operations, and project teams in a dynamic, matrixed environment to solve complex challenges and drive results.

 

The Fuel Administrator will be responsible for the end-to-end administration of corporate fuel card programs and 407 ETR transponders within a high-volume Shared Services environment. The position plays a critical role in ensuring accurate card and transponder management, maintaining compliance with company policies, and supporting billing and reconciliation processes. The Fuel Administrator will act as a key point of contact for employee inquiries, monitor transactions for irregularities, and collaborate with internal stakeholders to resolve issues efficiently, while also providing broader administrative and audit support to the Shared Services team.

 

What You'll Do Here:

  • Perform full day-to-day administration for all Fuel Card Programs
      • Manage Shared Fuel card mailbox
      • Issue, cancel, and update employee fuel cards as requested
      • Maintain accurate information to ensure fuel cards are correctly linked and billed
      • Assist with employee inquiries related to their corporate fuel cards
      • Monitor daily fuel card transactions and review exceptions, declines, and unusual activity
      • Investigate unauthorized transactions, disputed charges, and potential fuel misuse or fraud, and escalate as needed
      • Coordinate fuel card renewals and replacements
      • Maintain accurate cardholder records, driver IDs/PINs, and supporting documentation in accordance with company policy and audit requirements
      • Reconcile fuel card statements, prepare supporting documentation, and obtain internal approvals for payment processing

 

  • Perform full day-to-day administration for all 407 ETR requests
      • Issue, cancel, and update employee 407 Transponders as requested
      • Assist with employee inquiries related to their corporate 407 transponder
      • Maintain 407 ETR transponder inventory and assign transponders to authorized vehicles and drivers
      • Maintain accurate information to ensure transponders are correctly linked and billed
      • Coordinate replacement, return, and deactivation of lost, stolen, damaged, or inactive transponders
      • Review toll charges, investigate discrepancies, and coordinate resolution of 407 ETR billing issues or disputes
  • Provide administrative support to Shared Services leadership team
  • Assist with performing internal and external audits as required, maintaining user guides and forms, performing testing for any system changes / enhancements as required
  • Act as back-up support for other members of the Fuel Administration team when required
  • Additional duties as assigned

 

What You Bring to the Team:

  • Effective interpersonal and communication skills, both written and oral
  • Strong time management skills, with the ability to meet tight deadlines
  • 1 – 2 years of accounting experience preferably in a high-volume environment in the construction industry
  • SAP experience an asset
  • Demonstrated computer software proficiency with Microsoft Office; Excel skills would be a strong asset
  • Strong organizational skills to meet multiple deadlines, prioritize and execute multiple tasks, while maintaining attention to detail
  • Flexibility to manage increased volume of work at month-end and year-end
  • Desire to take ownership of tasks assigned and willingness to learn
  • Ability to work effectively with limited supervision within a team environment
  • Ability to multi-task and work under pressure in fast-paced environments
  • Strong analytical skills

 

This role follows a hybrid work model, combining in‑office collaboration and flexibility, with an expectation of three days per week in the office.
