What is the Opportunity?

Reporting to the Human Resources Manager, the Human Resources Assistant will provide administrative and coordination support to the Urban Transportation Solutions (UTS) Human Resources team. The Human Resources Assistant will play a key role in supporting employee experience, onboarding activities, communications, workforce reporting, and HR programs support. The role will also assist with process improvement initiatives, program administration, data integrity, while delivering exceptional client-centered support within a fast-paced operational environment. This is a 12-month contract opportunity. 

 

What You'll Do Here:

  • Provide administration and coordination support for UTS employee experience programs and initiatives.
  • Assist with the planning and execution of employee programs and engagement initiatives.
  • Support onboarding programs by coordinating new hire orientations, communications, welcome packages, and employee resources.
  • Coordinate employee events, networking opportunities, development sessions, and HR-led initiatives across UTS. 
  • Assist in developing and maintaining HR communications, program materials, guides, and resources.
  • Generate HR reports and assist with workforce metrics, data analysis, and reporting requirements.
  • Maintain employee and program records, ensuring data accuracy and confidentiality.
  • Participate in HR data audits and process improvement initiatives.
  • Assist with invoice processing, vendor coordination, and program budget tracking.
  • Draft and coordinate employee change letters (e.g., promotions, transfers, compensation changes, and organizational updates), ensuring accuracy, and maintaining letter templates.
  • Support coordination of exit interviews and maintaining related documentation and reporting.

 

What You Bring to the Team:

  • A recent graduate from Human Resources, Business Administration, or a related post-secondary program.
  • Strong interest in employee experience, HR programs, talent development, and workplace culture.
  • Exceptional organizational skills and attention to detail, with the ability to manage multiple priorities.
  • Strong client service and relationship-building skills.
  • Strong analytical and problem-solving abilities.
  • Ability to handle confidential information with professionalism and discretion.
  • Demonstrated initiative, adaptability, and willingness to learn in a fast-paced environment.
  • Strong written communication skills, with the ability to prepare professional employee communications and documentation.
  • Demonstrated presentation skills and ability to facilitate employee orientation, training, or program sessions.
  • Experience with SAP, SuccessFactors, or HRIS systems is considered an asset.
  • Proficiency with Microsoft Office applications, particularly Excel, Outlook, Word, and PowerPoint.

 

This role follows a hybrid work model, combining in‑office collaboration and flexibility, with an expectation of three days per week in the office.

The expected salary range for this role is $48,000-$50,000 per year

 

Individual pay is determined based on several factors, including work location, education, experience, unique skills and job conditions. Other considerations may includecertifications, specialized training, and the complexity or scope of the role.
