The role is execution-focused and field-aligned, with regular coordination between office and site to ensure crews have the latest drawings, materials, and information required to perform the work.
What You'll Do Here:
- Project Execution & Tracking
- Maintain and update project schedules covering design, procurement, construction, utility coordination, and turnover activities.
- Track milestones, critical path items, long-lead equipment, permits, and client or utility deliverables.
- Monitor project progress against plan and follow up on action items that affect schedule, site readiness, or execution.
- Identify delays, missing inputs, and scope coordination issues early and escalate them to the Project Manager.
- Support the Project Manager with execution planning, status tracking, and closeout of open items across active projects.
- Construction Coordination
- Coordinate with the Site Supervisor, Lead Installer, Superintendent, electricians, racking crews, crane operators, and specialty trades to keep site work aligned with the current plan.
- Ensure site teams have current drawings, installation details, delivery information, and approved technical documentation before work proceeds.
- Track site progress, constraints, access issues, and material shortfalls, and communicate impacts to the Project Manager.
- Support construction sequencing for rooftop, ground mount, and carport projects by aligning design information, procurement status, and field requirements.
- Maintain visibility on outstanding site issues, deficiencies, and turnover requirements to support commissioning and project closeout.
- Document Control
- Manage project documentation including IFC drawings, drawing revisions, submittals, RFIs, inspection records, permits, and turnover documents.
- Ensure documents are current, properly versioned, stored in the correct location, and distributed to the appropriate project team members.
- Track approvals, submissions, and outstanding document items related to building permits, ESA requirements, EASR filings, and utility interconnection processes.
- Maintain document registers and submission logs for utilities, and client stakeholders as applicable.
- Verify that superseded information is removed from active circulation to reduce installation errors and rework.
- Procurement & Logistics
- Track procurement status for racking, modules, inverters, transformers, switchgear, and balance of system materials.
- Coordinate delivery dates, site readiness, unloading requirements, and storage constraints with vendors and site teams.
- Monitor vendor commitments, shipping updates, material shortages, and flag risks to the Project Manager before they impact the work.
- Support material reconciliation by tracking delivered quantities, backorders, damaged items, and outstanding supply needs.
- Communication & Reporting
- Act as a central point for project communication between engineering, procurement, site teams, subcontractors, utilities, and clients.
- Prepare meeting minutes, maintain action logs, and track follow-up items to completion.
- Provide clear project status updates on schedule, documentation, procurement, permits, and field issues.
- Support internal and external reporting requirements by maintaining accurate project records and current execution status.
