Reporting to the Program Manager, the Residential Project Coordinator will be responsible for providing coordination for small residential projects that enhance mobility for our clients in their home residence, by ensuring that projects are completed on schedule in compliance with the contracts, the job cost estimates, and all the work is completed safely to acceptable standards of quality and workmanship.  The Residential Project Coordinator will also be responsible for coordination of day-to-day operations for the team, as well as for their own assigned projects completion.

 

What You’ll Do Here:

  • Prepare tender packages for the Project Supervisors for project tendering.
  • Coordinate and communicate with external subcontractors / vendors for timely invoicing.
  • Provide general administrative and project coordination support.
  • Create and maintain physical and electronic project files, folders, Customer Service Orders (CSOs) in SAP for tracking and audit.
  • Report/track data to report to client project referrals and approvals, and other relevant data for client reporting.
  • Produce Assessment, Evaluation, Design, Construction, Project Review Estimates, and Work Orders.
  • Work closely with Project Manager in preparing monthly progress invoices to client for work performed during the month, ensure all client invoices are recognized in SAP
  • Participate in monthly client coordination, review, and planning meetings.
  • Maintain subcontractor database with contacts, insurance, and clearance certificates.
  • Scheduling support for tender site-walkthroughs by booking appointments, sending out meeting requests, and preventing conflicts.
  • Maintain and organize document files, project drawings, and photos.
  • Transcribe scopes of work, site reviews, meeting minutes, and other required documentation.
  • Coordinate between internal departments to ensure accurate information flow and contract invoicing.
  • Monitor and provide job cost reports to management on active projects.
  • Subcontractor / vendor analysis reporting.
  • Ensuring final payments of holdbacks on all subcontracts and closing out committed cost balances when complete.
  • Administer input and tracking of all approved Change Orders and increases to pertinent subcontracts.
  • Ensure all contract Purchase Order changes are issued to subcontractors on a regular basis
  • Perform other duties and responsibilities as required.
  • Billing Coordination: ensure monthly billings are inputted in SAP, maintain updated planned costs and revenues.
  • Log and track data to report on service level agreement timelines.
  • Maintain tracking prequalification and safety documentation in project files.
  • Create ‘Close-Out Packages’ and Publish ‘Substantial Completion’ within an approved construction publication.

 

What You Will Bring to the Team:

  • Recent College Graduate of 3-year architectural / engineering degree from a recognized university, technical institution or equivalent.
  • Experience and knowledge of residential construction and industry practices.
  • Ability to coordinate and complete small residential projects <$20K on time and within budget and create accurate scopes of work to relay to subcontractors for quotation.
  • Strong communication skills, both oral and written.
  • Proficient computer skills in MS Excel, MS Word, MS Power Point, MS Project, MS Outlook. SAP experience is a strong asset.
  • Self-motivated with strong organizational and multi-tasking skills.
  • Ability to effectively manage demands of several Project Supervisors.
  • Attention to detail, excellent organizational skills, and discretion with confidential information.
  • Must be able to deal with sensitive customer issues in a confidential manner.
  • Ability to work flexible and / or long hours when required to meet deadlines.
  • Valid Class ‘G’ Driver’s License and reliable transportation
  • 50% travel mainly across Ontario with some travel out of province.
  • Some knowledge of barrier-free / universal design or willingness to learn.
