The Document Control Manager will be responsible for leading the document control team, and be the first point of contact for the client/project team with regards to Document Control for the Go Rail Expansion project. This is a dynamic opportunity to be part of a transformative infrastructure project! 


What You'll Do Here 

Document Control Function

  • Responsible for the functioning and operation of the EDMS system for the project.
  • Establishes distribution matrix to be used for document communication in EDMS.
  • Provides team members with training and guidance.
  • Sets document control guidelines and responsibilities within a business unit or project plan and ensures these are executed and followed appropriately.
  • Implements a document management team and system in line with the needs of the business unit and/or project requirements, including but not limited to project initiation for various projects. 
  • Define and implement the tools, systems, policies and procedures necessary to effectively manage document control requirements.
  • Establishes document management best practices and opportunities for continuous improvement.
  • Develops and implements work processes and procedures such as Design/Engineering Document Control, Correspondence Control, Contract or Vendors Data Management, Standards Management, Project Standards and Document Numbering.
  • Designs and implements detailed work instructions to support the approved procedures.
  • Ensures all document management equipment (hardware, software, etc.) is maintained.
  • Turnover of deliverable documentation when required as defined in project procedures and/or Project Agreement.
  • If required, setting up hard copy filling system with wet signature hard copy filing.

Communication 

  • Identifies and escalates potential issues and risk related to document control to Senior Management at the Aecon and/or JV Partner level.
  • Highlighting to project management immediately if defined processing targets cannot be met.
  • Communicates with partners, vendors, subcontractors, consultants clients and other third parties as required to ensure proper document management / control.

People Management

  • Creates and maintains a culture and environment that is open and respectful.
  • Hire, supervise, coach, develop and mentor document control staff across a project and/or business unit.
  • Communicates with Senior Leadership to ensure adequate resources to maintain efficient and timely processing of documentation.

 

What You Bring to the Team

  • Post-secondary education – Bachelor’s Degree in Engineering or equivalent preferred, or equivalent experience.
  • A minimum of 10 years’ document control experience in a construction project/site environment with a minimum 5 years’ experience in a lead document control role.
  • Proven experience and ability in all aspects of the document control function (design, implementation & management), including document management/control systems, processes, procedures, software tools.
  • Natural leader and team builder who can build strong relationships quickly.
  • Proven ability to effectively lead document controls staff.
  • Excellent communication and interpersonal skills with the ability to clearly identify and articulate issues.
  • Proven problem solver with sound judgment who accepts ownership and accountability.
  • Ability to work effectively with all stakeholders (internal / external) 
  • Proficient with Microsoft Office Suite.
  • Strong EDMS skills, including systems such as Sharepoint, Aconex, etc.
