POSITION SUMMARY
The Quality Management System Coordinator shall be responsible for controlling, maintaining, and sharing all documentation generated by the quality department, including Quality Management System (QMS) documents, Key Performance Indicators (KPI), Non-Conformance Reports (NCR), Inspection and Test Plans (ITP), and Opportunities for Improvement (OFI). The role requires a systems professional with experience in projects within the field of rail and transit, transportation, and infrastructure of similar size, complexity, and contractual value to this project
Reports to: Quality Director
The Quality Management System Coordinator’s key responsibilities are:
• Responsible for controlling, maintaining and sharing with CA all the documentation generated by quality department (QMS, KPI, NCR, ITP and OFI)
• Control and maintain all quality documentation in accordance with the Quality Management System (QMS).
• Ensure that all quality documents are properly stored, easily accessible, and shared with the Contracting Authority as required.
• Distribute documents to appropriate parties in a timely and secure manner, ensuring only the latest revisions are in circulation.
• Report directly to the Quality Director and liaise with the Contracting Authority on all matters relating to quality management.
• Comply with the comprehensive Design Quality Management Plan (DQMP) and Construction Quality Management Plan (CQMP).
• Distribute documents to appropriate parties in a timely and secure manner, ensuring only the latest revisions are in circulation.
• Conduct QMS Audits as directed by Quality Director
• Prepare documentation for internal and external audits.
• Coordinate with NEC documents control and manage/support quality team to ensure that Project Document Control Procedures are followed.
• Maintain a document transmittal log and ensure records are complete and up to date.
• Create and distribute all QMS-related meeting minutes.
• Provide training and guidance to team members on document control procedures and systems.
EDUCATION AND QUALIFICATIONS
• Bachelor’s degree in engineering, Quality Management, or a related field.
• Minimum of 5 years of experience in Document quality management in rail and transit, transportation, and infrastructure projects.
• ISO 9001:2015 Lead Auditor Certification
JOB REQUIREMENTS
• Professional experience in Quality Document Control within the field of rail and transit, transportation, and infrastructure projects of similar size, complexity, and contractual value.
• Experience in conducting ISO 9001 Audits on QMS Management Plans/Procedure• Previous experience in the use of document management programs (ACONEX)
• Previous experience in the use of programs for quality monitoring
• Proficiency in Power BI, Microsoft Office.
• Knowledge and experience in conducting training related to Quality Management Systems (QMS), including compliance with industry standards and best practices.
• Ability to work independently and as part of a team.
• Strong organizational skills and attention to detail.
• Excellent communication and coordination abilities.
• Ability to handle sensitive and confidential information with discretion.
• Knowledge of civil, electrical, or rail engineering terminology is an advantage.
