Reporting to the HR Manager, we are looking for an HR Coordinator to join our Civil - Major Projects West team! The successful candidate will play a key role in supporting our projects and client group across Western Canada and Washington state. This is an opportunity to be part of a collaborative team, in a fast paced dynamic work environment. You will be actively engaged in the broader Aecon HR team as well, supporting enterprise wide initiatives.
What You’ll Do
Payroll and HRIS (SAP)
- Responsible for working closely with payroll to ensure all transactions related to the employee life cycle are submitted accurately and within the required payroll deadlines. For example, new hire paperwork, terminations, benefits, compensation changes, taxable benefits, project uplifts.
- In charge of investigating and answering employee questions associated with their pay acting as a liaison between the employee and salary payroll department & hourly payroll department.
- Collect and file all associated paperwork related to employee compensation, assignment changes etc.
- Ensure proper back up and signatures are on all paperwork.
- Generates standard daily, weekly and monthly reports.(i.e. salary, new hires, terminations, headcount, benefits, training, performance reviews etc.).
- Lead regular data audits and ensure data accuracy and integrity.
- Generate new and ad hoc HRIS reports as needed by the HR department.
- Monitor vacation tracking and coordinate end of year vacation roll over process.
- Enter and update workforce planning changes in SAP.
- Submit monthly corporate reports as required.
Onboarding and Offboarding
- Main point of contact for drafting offer letters, onboarding new employees, collecting all new hire paperwork, submission of IT needs, access to software and hardware, and follow up to ensure all needs are in place prior to the employee start date.
- Schedule and coordinate Orientations for new hires for all salary and hourly non-union employees.
- Act as liaison between HR, IS, new hire and manager regarding onboarding information.
- Offboard employees including communication with payroll and IT.
- Draft and circulate new hire and departure announcements
Benefits
- Responsible to ensure that employees are enrolled in the benefits program.
- Act as employee liaison to the pension & benefits department.
- In charge of investigating and answering employee questions associated with benefits.
- Process all health and wellness benefits.
Training
- Ensure that Tuition & Request for training forms are completed, organized, and tracked.
- Coordinate & organize training sessions (booking of rooms, equipment required, materials printed etc.) in all disciplines of training when needed.
Other
- Code HR related invoices and liaise with the A/P department.
- Responsible for participating in identified compensation surveys.
- Maintains HR forms to ensure availability for employee use.
- Maintaining and updating highly confidential information on a daily basis.
- Files administrative documents in employee files.
- Participates in special projects and performs additional duties as required.
- Fosters Aecon’s Core Values the department and throughout the company.
- In charge of returning unsolicited calls to the HR department.
- Schedule meetings for HR and others on an as needed basis.
- Response and resolve employees’ questions or escalate to the Manager or other senior members of the HR team.
- Ability to thrive in a fast paced, deadline driven environment.
What You Bring to the Team
- Post-secondary education with a major in Human Resources or related field.
- 3-5 years of experience in Human Resources.
- Experience working in an operational environment such as construction, oil and gas or engineering is an asset.
- Exceptional organization, attention to detail, with the ability to manage multiple clients and deliverables.
- Experience with SAP and Success Factors is an asset.
- Strong verbal and written communication skills, including the ability to clearly communicate with various audiences, stakeholders and clients.
- Excellent problem-solving skills.
- Strong analytical skills
- Strong customer service skills with the proven ability to develop and maintain effective relationships with team members as well as internal and external stakeholders.
- Demonstrated ability using MS Office applications (Outlook, Word, Excel, PowerPoint).
The expected pay range for this position is $60,000 - $68,000
