Contracts Administrator

Position Overview

Presently, we are seeking a Contracts Administrator for the Gordie Howe International Bridge project consortium BNA, based in Windsor, Ontario. The Contracts Administrator will collaborate and work closely with the Project Internal Legal Counsel and Prime Contracts Managers.


Key Responsibilities

  • Interprets contract provisions to help identify, administer, and resolve claims, disputes and questions including those originating from BNA stakeholders and/or submitted by other contracting parties.
  • Receives requests, obtains estimates, establishes, maintains and updates contractual correspondences and claims records, initiates paperwork and rigorously follows up on contractual matters; processes and obtains approval of contract changes.
  • Monitors compliance with contract requirements and assists with ensuring that all applicable conditions are satisfied.
  • Operates in accordance with applicable BNA programs, policies and procedures and legislative requirements.
  • Initiates and/or conducts meetings with internal stakeholders or other parties concerning contractual matters as requested by Prime Contracts Managers and follows up on open issues related to same.
  • Responsible for maintaining all contract documents, tracking all contractual related issues and developing clear and concise contract claims documentation.
  • Reviews existing contracts and agreements to ensure compliance is maintained.
  • Develops and manages comprehensive design and construction claims, as necessary.
  • Liaise with corporate legal, as required and acts as the point person for legal issues on behalf of the project team.
  • Communicates with other members of the project team to put in place contract management best practices.
  • Manages the financial considerations around change orders and claims.
  • Prepares monthly reports on contract claims. Report status of current contract process to management
  • Coordinate the contract process with Finance, Project Managers, Project teams, Attorneys, Clients and Consultants
  • Advise project teams on contractual requirements for construction, and potential legal implications
  • Assist in documenting and tracking all changes to firm wide contractual document templates and circulate to affected parties
  • Establish and maintain approved contract database
  • Monitor all aspects of contract and insurance compliance
  • Evaluate and report on risk management compliance


Knowledge and Experience Required

  • Post-secondary education in Civil Engineering or relevant program; or five years+ related experience and/or training; or equivalent combination of education and experience
  • Direct experience in a contracts management environment.
  • Familiar with construction contracts and comfortable in liaising and communicating with contract managers and lawyers.
  • Highly organized and able to manage multiple issues/tasks concurrently.
  • Knowledge of construction contracting practices, preferably on a major project.
  • Skilled in drafting and reviewing correspondence and interpreting contracts.
