Project Administrator

Position Overview

Reporting to the Project Manager, the Project Administrator will be responsible for supporting the daily clerical activities of the OPM contract. Key attributes include exercising good judgment, initiative, and the ability to multi-task.


This position will be located in Winnipeg, MB. 


Key Responsibilities

  • Learn, interpret, and applies organizational policies, rules and regulations
  • Assists with the creation and submission of project billing
  • Coordinates and prepares job packages including locates, permits, materials
  • Coordinating due dates, scheduling work and holding to the timelines provided
  • Performs other duties and responsibilities as required
  • Provide administrative and clerical support with speed and accuracy
  • Perform and maintain daily documentation, filing and typing
  • Maintain and organize document files
  • Perform general clerical duties; photocopying, faxing, mailing, filing and couriers etc
  • Suggest and implement improved work methods and systems relating to administrative tasks
  • Issue locate requests through Manitoba OneCall and track to completion.
  • Ensure all locate requests are validated and kept up to date
  • Respond to internal and external inquiries in a timely manner
  • HR responsibilities such as recruitment, time entry, and payroll processes.


Required Knowledge and Experience

  • At least 2 years’ experience as project administrator in a construction industry
  • Superior written and verbal communication skills (preparation and proofreading of documents)
  • Ability to show discretion with confidential and/or personal material
  • Ability to work well under pressure and meet deadlines with poise and confidence
  • Ability to multitask and prioritize workload, handling various job responsibilities at once (arranging meetings, phone messages, correspondence, etc.)
  • Ability to work independently as well as a member of a team
  • Professional interaction with all levels of staff within the organization from front line to senior executive
  • Exhibit a polite and professional attitude at all times
  • Proficiency in MS Office (Word, Outlook, Excel and PowerPoint)
  • Ability to work independently, accurate computer data input and record keeping.
  • Attention to detail, excellent organizational skills, and discretion with confidential information.
  • Must be able to deal with sensitive customer issues in a confidential manner.
  • Strong communication skills, dealing tactfully with employees, visitors, and customers.
  • Problem solving, planning and organizational skills, ability to prioritize tasks, work to timelines.
  • Ability and willingness to work long hours when required
  • Prolonged sedentary positioning. 
  • Able to perform in a fast-paced environment.
