What is the Opportunity?
The Project Administrator supports the Aecon Water team by providing day‑to‑day administrative and financial coordination to ensure smooth project execution. Reporting to the Project Director, this role supports site operations through invoicing, billing assistance, record keeping, and compliance with organizational and project requirements in a fast‑paced construction environment.
- Process, track, and distribute invoices for approval.
- Create and process purchase requisitions.
- Receive and process packing slips for materials.
- Process and track accounts payable invoices.
- Establishes accounts with local suppliers for miscellaneous items for the site.
- Coordinate site access, office supplies and general site logistics.
- Assists with the creation and submission of project billings, including backup documentation and submission support.
- Maintains an organized filing system on site.
- Learn, interpret, and applies organizational policies, rules, and regulations.
- Assist with continuous improvement of administrative processes and systems.
- Maintain labour force tracking, including headcount and trade breakdowns, board allowance and vehicle allowance.
- Track apprentice hours and work classifications to support apprenticeship program requirements.
- Support onboarding and offboarding of site personnel.
- Accurate daily entry of hourly workforce timecards (repetitive movement data entry).
- Provide day to day administrative support to the Project Director, Project Managers, and site leadership team.
- Able to perform in a fast-paced environment.
- Prolonged sedentary positioning.
- On site work will be required.
What You Bring to the Team:
- Ability to work independently in a fast-paced, deadline-oriented environment.
- Proficiency in Excel and MS Office Suite. Exposure to construction project management & scheduling tools is an asset.
- High level of integrity, confidentiality and accountability.
- Ability to do detailed work with accuracy.
- Excellent verbal, written and interpersonal communication skills.
- Excellent customer service skills.
- Strong planning, organizational and task-monitoring skills.
